Accounts Assistant  Fixed Term - The Belfry

We are currently accepting applications for the position of Accounts Assistant (Fixed Term) for the Belfry Hotel and Golf Resort, Sutton Coldfield, West Midlands.

Please Note, This is a fixed term role from March – December, with the opportunity to extend if required.

The Resort has been awarded ‘England’s Leading Resort & England’s Best Golf Hotel’ the past two years and ‘Europe’s Best Golf Resort’ 2016. The Belfry is proud of its rich sporting history and heritage, hosting the Ryder Cup four times in 1985, 1989, 1993 & 2002.

An appreciation for and experience of working in a fast moving hotel environment while also reporting to the Financial Controller is essential.

Scope of the Role:

The Accounts Assistant is primarily responsible for maintaining an efficient and accurate accounting function the successful candidate will assist the DOF & FC with maintaining professional financial standards within the department and throughout the hotel.

As the Accounts Assistant you will ensure revenue reporting and management information is relevant and accurate at all times. You will ensure that financial controls are implemented as requested by the DOF & FC, to ensure transactions are accurately recorded and performance reported in a timely manner.

Key Responsibilities of the Accounts Assistant role:

  • Report for duty at the correct time as per rota, in the specified uniform provided by the Resort, ensuring highest standards of appearance at all times.
  • To represent The Hotel and Group in a professional manner at all times.
  • Understand how all hotels and departments operate and how the finance function can co-operate with them to ensure team spirit and high level of employee satisfaction.
  • To carry out all reasonable tasks assigned by management to meet with business needs.
  • Accounts assistant to be aware of health, safety and fire procedures, and assume responsibility for the accounts departments.
  • To be fully aware of the Hotels products and services and those of our competitive set.
  • Understanding of Resort seasonality, need periods and periods of high demand.
  • Ability to work on own initiative

Events Billing

  • Review BEO’s in advance of event to ensure deposit paid, credit application processed or credit card available to charge.
  • Liaise with sales and events to ensure that BEO’s are clear and complete for billing purposes.
  • Coordinate with operations departments to ensure all charges are posted on the day and post charges and corrections if necessary.
  • Liaise with sales and events to ensure accuracy of invoices
  • Ensure that invoices are issued in a timely manner
  • Attend weekly BEO meeting
  • Address any follow up queries from customers in a professional and timely manner.
  • Ensure any amendments to invoices are appropriately authorised

Credit Control:

  • Chase outstanding debtor balances.
  • Reconcile credit cards daily to bank entries available.
  • Report discrepancies daily including timeliness and timing errors.

Income Audit & General Cashiering

  • Complete the cashing up on a daily basis.
  • Investigate variances with departmental management.
  • Review all corrections and adjustments.
  • Post daily revenue and banking journals

Purchase Ledger:

  • Process purchase orders through ProcureWizard
  • Ensure PO’s are approved and received in a timely manner
  • Follow up on any discrepancies in Procure Wizard
  • Process invoices and reconcile creditors’ statements as received and follow up on variances in a timely and efficient manner.
  • Pay invoices due in accordance with agreed payment terms
