30 Euston Square is a Grade II* listed award-winning events venue in a perfect central London location. From meeting and conference spaces to private dining and rooftop terraces, the venue offers an iconic setting for any occasion.
This venue is unique to Searcys as is the only property within the estate that is home to a selection of boutique bedrooms.
Job Description
As an Event Manager you would work with the senior operations team, talent chefs and target driven sales people to execute the events on the day. You would build strong relationships with all departments and clients.
Salary from 31K to 33K yearly
Main Purpose:
- To effectively manage and plan all bookings in accordance with company or site policies and procedures and in accordance with pre-approved parameters to ensure brand reputation is protected and profit margins are maintained.
- To support, train and develop junior members of the team whilst leading by example and delivering own targets.
- To maximise up-selling opportunities for both 30 Euston Square and Searcys.
Key Responsibilities:
- To demonstrate thorough knowledge of our products, prices, facilities, policies and procedures from either the venue or from client (when applicable).
- To manager/oversee the booking diary to ensure all bookings are been attended to in a timely manner (sufficient lead time to manage all aspects of the event).
- To proactively develop and maintain relationships with key accounts
- To represent 30 Euston Square in a professional and cordial manner when interacting with clients, work colleagues and industry peers.
- To effectively manage all bookings allocated to you whilst overseeing progress of booking allocated to junior member of the team to ensure the event pack is ready at the agreed date/time by management.
- To ensure thorough knowledge with both the Internal and External Hire Agreement between venue and the hirer, including, but not limited to all cancelation policy.
- To ensure thorough knowledge of internal and external rates
- To ensure all accounting procedures, including but not limited to administration of deposit invoice, deposit credit notes and debt are processed and managed in an efficient manner.
- To ensure that under no circumstances, and unless authorised by the general manager, events take place at 30 Euston Square without relevant deposit payments reaching our bank account prior to event date.
- To demonstrate competitor awareness and carry out competitor analysis when required.
- To process and manage all client requirements in accordance with building, client or company policies to ensure compliance of food, health and safety at all times.
- To book, when necessary, third party approved suppliers such as entertainment and/or equipment hire as agreed in written by the client. To manage these booking alongside main event, in scenario that main event date changes.
- To represent Searcys in a professional manner to both Searcys colleagues and clients alike, either at work or at an external work-related activity
- To ensure that all BEO correspondence is dealt with promptly and communicated effectively with other departments.
- Ensure that Function Sheets/BEO's are place in the correct folder when created or amended.
- Ensure that agreed changes to events including number increase, time changes, etc.. are reflected on the function/BEO and that relevant departments are informed
- To attend daily and weekly meeting when required.
- To conduct show around with clients in conjunction with other departments when necessary (ie AV). To be aware of what is contracted and maximise upselling during show around.
- To greet your client on arrival and make sure introductions to the Ops team are made.
- To provide the highest level of service possible to RCGP members, guests and RCGP colleagues at all times and deal with and attempt to resolve any problems or complaints in a polite and professional manager and to refer all complaints to the Senior Events Manager if required.
- To ensure feedback forms are sent to all clients, responses captured and compiled for reporting purposes.
- Update the deposit schedule on Delphi and ensure that billing invoices are done in a timely manner and passed on to head office for processing.
- To comply with all legal requirements with particular reference to (but not exclusively) fire regulations, security, licence requirements and any Local Authority or Client stipulations.
- To ensure all Health, Hygiene and Safety requirements are being adhered to as described in the Searcy Health & Safety Policy.
- To attend all meetings and training courses as requested by the Senior event Manager.
- To carry out any other reasonable duties as required to achieve the objectives and targets of the sales and events team.
- Maintain good working relationship with other RCGP colleagues and other Searcys sites.
- Any other reasonable request by management.
