Functions Administrator - Roehampton, London

40 hours per week, occasional weekend work

Salary: £22,500

Job purpose:

The Functions Administrator will provide administrative and operational support to the Operations Manager (F&B and Events) and the Events Co-ordinator to help deliver the Club’s existing Events/ Functions strategy and, where required, the Food and Beverage day to day operation.

Key responsibilities:

  • Co-ordinate all booking requirements on the ESP system including section events, functions, training courses and staff meetings
  • Main point of contact for all the sections and committees and to co-ordinate and manage all their events including Board Meetings, AGM’s, annual dinners and match teas
  • Provide administrative support for all functions such as menus, table plans, place names, signage
  • Co-ordinate all children’s birthday parties at the Club
  • Print and distribute weekly function sheets for all events/functions for each relevant department
  • Print all weekly room signs and F&B Menus
  • Key Liaison with other departments to ensure good communication and preparation of all events at the Club
  • Assist with the coordination and hosting of the Club’s events and functions when required
  • Assist the F&B team with room set ups when required
  • Provide IT technical support for events including Art Lectures, Club AGM, Photo Club lectures and other key events when required
  • Co-ordinate daily Restaurant bookings
  • Keep inventories of all F&B/Event storage areas and equipment ensuring all are kept tidy and secure
  • Support F&B Front of House team in the Bar, Club Café and at Functions when required (training will be provided)

While full training will be given, the ideal candidate will possess the following qualifications and competencies:

  • Trustworthy and reliable
  • Experience in an events and functions environment is desirable but not essential
  • Experience in using events management software is desirable but not essential
  • Ability to use your own initiative
  • Good customer care skills including respecting internal and external customers
  • Excellent attention to detail in written documentation
  • Sound IT & AV skills and confidence in different software packages
  • Strong team player and good communicator
