About You

  • To support the Sales Corporate Team & Events Team, together with a full understanding of room types, DDR offering and pricing, use of systems including all Hyatt proprietary systems
  • To complete RFP solicitations and rate loading under the guidance of the respective Sales Team member in a timely manner
  • To support with contracting local accounts and targeting new business opportunities
  • Maintaining and managing the conference diary ensuring all bookings are input directly upon receipt and updated when necessary
  • To work with the Sales and Events Team as directed by the Director of Sales in carrying out market penetration strategies with existing accounts to drive incremental business
  • To complete the Monthly Sales & Marketing report with the guidance of the Director of Sales
  • To handle all telephone and written enquiries as to availability for potential groups, meetings or function spaces
  • To have a full understanding of all systems and programmes e.g. Opera and any future loyalty/brand schemes
  • To display excellent telephone skills at all times
  • Ensure the complete administration and execution of all group bookings and planned events
  • Establish and maintain strict security procedures within your department, reporting any potential risks to your line manager
  • Participate in hotel promotional activities
  • Distributing all function sheets, amendments and late additions to the other departments
  • Ensure that you and all team members have a sound knowledge of the local area regarding history, places of interest and special events and where further information can be obtained
  • To be able to act with initiative, planning for the future and possible consequences. Being pro-active in getting things done and exceeding expectations of both guests and colleagues where possible
  • To develop interactive customer relations and to be aware of any possible future requirements. To relay such information to your manager for the enhancement of customer expectation
  • Maintaining a chase system and ensuring all Opera activities are completed on a daily basis
  • To conduct pro-active sales activities
  • To manage all diary space that should provisional events cancel suitable alternative business is already in place or could easily be found
  • To be fully aware of physical product as well as additional sales opportunities in order to maximise the One Stop Shop sales experience and so additional revenues
  • To prepare all quotations, proposals and contracts according to the clients’ requirements and the hotel’s standards
  • To schedule show round site visits into the Director of Sales diary and assist in site visits/show rounds when required
  • To liaise with the Sales department with regards to all new business brought into the diary as well as potential new leads for the Sales/Account Manager to follow up
  • To have a sound understanding of the departments financial requirements at all times
  • To achieve set Revenue Targets for Business (e.g. conversion ratio) as agreed and set out in the Sales Activity Plan
  • Ensuring the Company’s high standards of guest care are upheld at all times
  • Maintain collateral stocks and equipment needs of the department
  • Any ad hoc project work at the request of the Director of Sales
  • Co-ordinate all meetings, training and presentations for the Sales & Marketing team
  • Complete administration tasks set as and when required
  • Creating Function Sheet
  • Arranging weekly meeting with other department to discuss about events taking place
