Job title: Senior Group, Conference and Events Planner

Department: Sales and Marketing – Commercial team

Reports to: Group, Conference and Events Sales Manager

Principle responsibilities and position purpose:

As a Senior Group, Conference and Events Planner in our hotel you will be responsible for ensuring consistent quality of customer service is provided to the guests in accordance with the Luxury Standards.

To provide guests with a memorable stay experience that is personalized to their needs, throughout their stay at the hotel by ensuring to respond efficiently to their inquiries and advising them of the amenities and benefits offered by the hotel.

Responsible for supporting team members on a daily basis with any queries and issues that may arise and engaging with them to ensure well-being and satisfaction. Has the responsibility to assist the management to drive and deliver positive results.

Essential functions:

· Ensure the Group, Conference, and Events (GCE) Planner Team Members are developed effectively and generate a culture of high quality standards for relationship building, customer service, selling and upselling techniques, and billings;

· Highlight to the GC&E Manager the risks and opportunities linked to the strategy in place based on guest feedback;

· Focus on a consistently executed bespoke approach for each event and maximize the up-selling opportunities;

· Have good knowledge of menus, to offer suggestions to clients and maximising revenue for the department;

· Plan and manage the event from the contract stage to the post-event call, ensuring:

Client satisfaction;

Hotel and company standards are followed;

Profitability is maximised;

To be present through the duration of any event responsible for;

To conduct “exit“ meetings/interviews at the end of each event;

Versatile and positive in developing and managing customer relationships with a high standard of communication;

To fully understand the needs of the customer and strive to meet or exceed those expectations at all times;

Participate in hotel promotional activities;

Maintain accurate, up-to-date customer records in Hilton Bookings Systems;

Ensure professional and efficient utilization of all systems, in line with company best practices and standard operating procedures;

To know and promote the hotel facilities and also to have the knowledge of our competitors’ strengths and weaknesses;

To communicate efficiently with all HOD, especially: Revenue manager, Director of operations, F&B director, Executive Chef;

Specific job knowledge, skill and ability

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.

· Positive attitude and good communication skills

· Commitment to delivering a high level of customer service

· Confident telephone manner

· Excellent grooming standards and strong skills in time management, organisation and coordination

· Ability to manage multiple projects, meet deadlines, and work effectively under time and resource constraints

· Demonstrated previous experience working in a Sales environment

· It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

Knowledge of the hotel property management systems: Delphi or Salesforce

Demonstrated previous experience working in the Conference and Events function

Qualification, degree, or certification in Hotel management or Events management
