Apprentice Admin Assistant - Blackpool

What you'll be doing:

Based at our site located in Whinney Heys Road, Blackpool, your duties will include, but are not restricted to the following:

  • Co-ordinate data for weekly and monthly KPI reports e.g. Cleaning Audits, Payroll Admin, Training Matrix Updates
  • Assist in weekly organisation and submission of payroll and stock takes. Working closely with the Finance Admin, with the use of Our Time, to ensure the submissions are accurate and timely.
  • Assist Support Service Managers and General Managers when they are dealing with HR cases e.g. note taking during HR cases, completing and sending letters, building action plans.
  • Assist with liaising with Medirest stores persons to ensue weekly consumable orders are placed on time and in the correct quantities.
  • Effective communication with the Clients (ward managers, admins, matrons, clinical teams) when dealing with direct calls/e-mails from these teams. Ensuring any communications are then forward to the appropriate stakeholder for actioning.
  • Ensure that all duties are carried out in line with required standards.
  • Ensure the sickness and absence procedure is complied with and that you ensure the relevant forms including return to work interviews are available to the management and supervisory teams.
  • Develop and maintain a customer-focused environment within the admin office; encouraging highly motivated and professional manner to frontline teams and clients. Ensuring that customer complaints are promptly passed onto the relevant person in a timely manner.
  • Comply with all Health & Safety legislation which is laid out in the company's Health & Safety Manual, (COSSH procedures in the selection, use and recovery of cleaning chemicals and manual handling etc)
  • Report all maintenance issues and hazards to your Line Manager.
  • Maintain ad-hoc records of processes, training, or actions taken where necessary e.g. record, store, and share records of ad-hoc requests from clients or management.
  • Ensure hygiene levels are maintained in accordance with current legislation and provide a safe environment for customers and staff.
  • Assist Support Service Managers in maintaining training records cards in the person's individual Training & Development record, including risk assessments and ad-hoc training.
  • Develop good lines of communication and relationships at all levels within your team and with other colleagues, customers and key clients and stakeholders.
  • Assist in the management of security processes within your area, in line with the company procedures e.g. the storage and distribution of sensitive data, temporary ID cards, PPE, company equipment, and allocated keys.
  • Assist in the production of reports from available management systems.
  • Perform any reasonable and practical instructions as requested by a Manager appropriate to the needs of the role.
More about the role:

Alongside your day-to-day duties, you will complete the Business Administrator Level 3 Apprenticeship. This is a nationally recognised qualification and the primary objective is for you to learn and understand how to carry out administrative tasks to support the various needs of the business. You will be supported through this qualification by your Personal Development Coach who will visit you at your place work every 6-10 weeks. You are not expected to complete any of your Apprenticeship work outside of your normal working hours and will be given set time each week to complete your work.

SALARY: 10.37 per hour

LOCATION: Compass Group UK & Ireland Ltd (Medirest Sector), Whinney Heys Road, Blackpool. FY3 8NR

REPORTING TO: Service Manager

HOURS/WORKING PATTERN: 30 hours per week, Monday to Friday, 09:00-15:30 (including 30 minute unpaid break)

DURATION: Minimum 18 months

Well now is the time, as we have a very exciting opportunity for an Apprentice Business Administrator to join our team at Compass Group UK & Ireland Ltd, Whinney Heys Road, Blackpool.

You do not need to have any experience as full training will be provided as part of the Apprenticeship. This is ideal for a school leaver or someone wanting a career change.

Over an 18 month period you will be trained to become a fully Qualified Business Administrator.
