The EA provides administrative and executive support to the Commercial Director and Event Operations Director to enable the efficient running of the departments.

Key duties and responsibilities

  • Diary management enabling a balance between preparatory and planning work, people management and operational tasks - 20%
  • Manage and respond to correspondence on behalf of the Directors - 20%
  • Plan and organise meetings taking minutes and following up actions - 20%
  • Coordinate the preparation of Board and meeting papers including proof reading, fact checking and formatting for clear presentation - 10%
  • Support the Directors to manage their teams efficiently and keep accurate HR records such as appraisals, annual leave forms, and business planning progress - 10%
  • Provide financial administration support including raising POs and reconciling expenses - 10%
  • Support the Directors on event open days including the management and administration of VIP and Guest lists - 5%
  • Undertake ad hoc activities such as research projects, attending networking events and external meetings - 5%

Person Specification


  • Minimum 5 years' experience in a PA / EA role at senior level
  • Advanced Microsoft office including Word, Excel and Powerpoint
  • Excellent communication skills both written and verbal
  • Ability to prioritise own workload and work independently
  • Experience of report writing
  • Experience of implementing and maintaining filing systems
  • Experience of liaising with a variety of stakeholders at all levels


  • Experience of working in events of within a venue
  • Experience of using a diary management system such as Artifax or similar
  • Knowledge of exchequer or equivalent financial database
  • Experience of working for a Trust or Charity
  • Experience of support with Board papers
