Reports to: Deputy Manager

Staff responsible for: Receptionist, Sports Assistants, Gym Instructors, Party Staff

Location: JAGS Sports Club

Hours: Full Time (39) – See special Conditions

Purpose of Job: To provide a hands on approach in the operation of the facility along with support, leadership and coordination of all teams working within the Sports Club. The Duty Manager will largely be responsible for all day to day activities on a shift basis including the safe opening and closing of the facility, accountability of ensuring cleanliness and housekeeping standards and responsibility for the safety of all members, visitors, contractors and staff at all times.

Principle Responsibilities

  • The timely opening of the JAGS Sports Club and ensuring all relevant Health and Safety Checks prior to the facility being open to the Members are performed.
  • Direct accountability for maintaining high levels of cleanliness and house keeping standards at JAGS Sports Club. This includes guaranteeing deep clean sessions are carried out according to the Deep Clean schedule along with the usual daily cleaning detail.
  • To work closely with the Maintenance Manager and actively investigate all Corrective Action Issues and proactively explore suitable solutions before presenting resolutions to the Deputy Manager. This should be completed in a satisfactory time period.
  • To up hold and be knowledgeable in all JAGS Sports Club’s written policies and procedures, the most important being Emergency Action Plan (EAP), Normal Operating Procedures (NOP).
  • To take the fullest responsibility in cases of accidents, incidents and to be able to confidently initiate and lead evacuation procedures should the need arise.
  • To ensure that all new employees at JAGS Sports Club under go a thorough on site job specific and general induction.
  • To facilitate the following positions at JAGS Sports Club: Sports Assistants, Receptionists, Gym Instructors, Party staff and when necessary to provide support to the Copper Beech Café and Maintenance Manager.
  • That the staff rota is being followed and the covering of shifts ensues when the need arises. To also follow protocols when having to react to the sudden absence of coaches, studio instructors or course tutors.
  • Accountability of ensuring of all sports set ups, course set ups and party set-ups happen on time with the correct equipment in place.
  • The completion of standard Daily Facility Checks, End of shift reports, completion of Accident and Incident Reports and other vital documentation that may be valuable for obtaining data in the future.
  • To have accountability for ensuring the Reception staff’s monies balance and are being correctly investigated if they fall outside the acceptable variances and to be a direct support to the reception team during busy times.
  • To report to the Deputy Manager via verbal communication or email any issue related to the shift.
  • Responsible for contributing to the development and promotion of internal and external customer care practices.
  • To carry out any other reasonable task from time to time that may be delegated by the Club Manager or Deputy Manager at JAGS Sports Club.

 

Person Specification

Essential criteria: Must hold a valid NPLQ.

  • Customer service experience gained in a private or public leisure facility.
  • Ability to deal calmly and confidently with demands from the public, including difficult situations.
  • Helpful and positive attitude when dealing with colleagues and visitors; being open and receptive to ideas from others.
  • Professional and courteous presentation at all times.

Working with words

  • Clear and effective written and verbal communication skills.
  • Experience of writing business letters, explaining complex points effectively to visitors and staff.
  • Good IT skills for letter writing, sending emails, navigating a computerised Front of House system.

Organisation Skills

  • Ability to multitask and manage various projects sometimes with conflicting deadlines, without compromising on quality.
  • Able to assess the priorities within daily operations and in a pressurised environment. Awareness and understanding of the organisation’s scope.

Special Conditions:

The Duty Managers will be based at JAGS Sports Club but may be required to work at other locations within the school premises.  The hours of work per week will be 39 hours generally completed from 6.15 – 14.15 or 14.00 – 22.15 on a shift basis. The post holder may not carry out any other duties at the school without first obtaining the agreement of the Sports Club Manager, permission not being unreasonably withheld.
