System Administrator - Swindon

Summary

The National Trust is one of the biggest landowners in the country, looking after 250,000 hectares of countryside and more than 780 miles of coastline. One of the Trust’s enterprise data systems is its Property System – the record of all the land and buildings the Trust owns or holds an interest in. The system supports the business processes for our Let Estate, our tenants and our buildings maintenance, with circa 600 users maintaining the database.

There has never been a more exciting time to work on the Property System at the National Trust and an opportunity has opened for a System Administrator to join the team. In recent months we have started the process of bringing on board the Facilities Management community of around 300 users, altering how the Property System will support the wider organisation going forward. You will be joining us as we play an important role in establishing the system as a key component of day-to-day working practices.

Internally this role is know as Property System Administrator.

What it's like to work here

We are bigger than you think, we’re more complicated than we appear and we’re larger scale than you’d imagine. We’ve got passionate people in our teams, and we have much more we want to achieve. When you join our Property System Support team, you will be playing an important role in delivering best practice initiatives for Property System users, ultimately delivering data critical to the management of our Let Estate and the maintenance of our built assets.

Your contractual location will be our head office in Swindon, however there will be an opportunity to explore and agree hybrid working arrangements which strike the right balance for you and the Trust.

What you'll be doing

In your role as the System Administrator, you’ll provide support and coaching for users to maintain strategic property data and to engender user self-reliance following documented system procedures. You’ll be a vital contact for the users and management teams as a subject matter expert on the Property System.
You’ll encourage the users to be self-reliant by ensuring best practice is followed. You’ll be working within a team to ensure the system administration is maintained and procedures for data management are up to date and accurate. In addition, the role encompasses the configuration and maintenance tasks that keep the system operational. By providing first-rate support to National Trust staff, you’ll be supporting the operational running of properties, places and outdoor spaces.

Who we're looking for

We recommend you view the full role profile document attached. You don't need to have all the knowledge, skills and experience listed; this just provides a full picture of what is possible in this role. We’d love you to have:
  • Let Estate and/or Facilities Management knowledge including a strong understanding of lease and tenant business processes and built asset maintenance
  • Relational database knowledge and previous experience of working with Property Management systems and data.
  • Strong excel skills including the ability to write formulas such as ‘VLOOKUP’ and ‘IF’ and understanding of pivot tables
  • Presentation skills and aptitude for coaching
  • Good communication, you will be working with a variety of stakeholders

We welcome and value difference, so when we say we’re for everyone, we want everyone to be welcome in our teams too.

  • Flexible working whenever possible
  • Free parking at most locations
