Operations Support Coordinator - Farmoor, Oxfordshire

Location: Farmoor - 2 miles from Oxford

Basis: Full Time Permanent Contract

Start Date: March 2022

Hours: Monday to Friday 9am-5pm, except during Easter, Summer and October school holidays when hours will be 8am – 6pm

Reporting to: Programme Manager

Salary: £20-22k per annum plus £1,500 loyalty bonus

Holiday Allowance: 35 days (plus bank holidays)

Summary of Position

As part of the Operations Team, you will work with the Programme Manager on the development, preparation, and delivery of our UAC programmes to ensure children receive engaging and fun activities at every location, every day. Your role will focus on facilitating the successful delivery of specialist programmes such as our cookery programme (Ultimate Chef), Tech programme (Ultimate Tech) and our specialist sport camps (Ultimate Sports Academies) as well as supporting with our multi-Activity programme where necessary. At Ultimate Activity Camps the most important part of a child’s experience is the quality of activity programme they enjoy.


Programme Development

  • Support the Programme Manager to plan and create resources for both our specialist programmes and our multi-activity programme ensuring fun activities are on offer at every location
  • Work with the Programme Manager to research new activities that fit within the regulatory framework in which we operate (Ofsted, Health and Safety, etc)

Staff Recruitment and Management:

  • With support of the Recruitment Team, source, interview and select outstanding and appropriately qualified staff to deliver the programme.
  • Support the recruitment team to attract the strongest candidates
  • Lead in the performance management of on camp staff

Programme Delivery and Training

  • Support the Operations Team with the preparation and delivery of staff training
  • Support with camp set ups at the start of school holiday periods
  • Create weekly timetables using our unique timetable builder programme
  • Ensure each timetable gives each child the very best experience whilst ensuring they are accurate for staffing levels and school facilities.
  • During the season, carry out visits to camp to quality control the activity programme, and support camp staff in high standards of delivery
  • Assist with the performance management of on camp staff
  • Ensure the Operations Team are informed of any problems on camp involving any aspect of camp, staff and our host schools
  • Liaise with the customer support team to solve any issues on site including parents feedback

Equipment Organisation and Preparation

  • With Support from the Programme Manager, prepare and pack specialist resources and equipment ready to go out to camps
  • Deliver kit and paperwork to camps
  • Support with the rotation of equipment between sites

Secondary Responsibilities

  • Deliver activities on camp if necessary
  • Support with admin tasks in the office
  • Assist in warehouse maintenance and kit preparation
  • Other Ad Hoc office support outside of crucial busy periods


Essential Requirements

  • Full, clean driving licence with car
  • Be highly organised with an excellent attention to detail
    • Good time management and communication skills
  • Be an enthusiastic team player
  • Able to commute to our office just outside Oxford

Desirable Requirements

  • Previous camp or holiday programme experience preferable
  • Preferably aged 25 or over for vehicle hire regulations
