Club Manager  - Anytime Fitness - Peckham

Role Title: Club Manager

Reporting to: Club Owner

Reward: £22,000 to £27,000 plus monthly and quarterly bonus potential

Purpose of Role

The Club Manager is responsible for the general running of all aspects of the club with specific emphasis on the sale of new memberships, retention of existing members, management of staff and contractors plus H&S requirements.

Context of the Role

With more than 2300+ clubs worldwide, Anytime Fitness is the fastest growing fitness chain across the globe and this exciting new gym concept is now growing rapidly in the UK. With over 7,200 square meters, the most advanced equipment and proven club management expertise, Anytime Fitness Peckham is the premier gym within the Peckham area.

The role-holder will have a proven track record in managing a team of sales staff within a high quality service or sales environment from any commercial business sector, who will thrive working within a very structured and successful sales process- working to agreed key performance indicators.  A large part of the role will be to manage, coach, train and develop a team of like-minded, performance driven sales staff and as such outstanding communication and interpersonal skills are essential. They will have the ability to drive the Anytime Fitness culture within the club and to meet and exceed the members expectations.

The owners of Anytime Fitness Peckham are looking for a Club Manager that can not only take this club to a leadership position within the local market, but who also has the skills and ambition to work with the owners to assist with the continued growth of Anytime Fitness clubs.

Key Areas of Responsibility

1)       Sales: Achieve new member, total membership and income targets, in particular:

a. Drive best practice for dealing with initial sales enquiries and/or visits to the club of prospective members, ensuring the positive promotion of Anytime Fitness at all times.

b. Utilise Anytime Fitness systems and procedures to achieve high conversion rates from facility tours and telephone enquiries to appointments and sales, against monthly membership targets, based on Anytime Fitness best practice.

c.       Follow Anytime Fitness procedures designed to convert telephone enquiries into appointments for you and your Sales Team. This involves managing your staff on the correct and most suitable sales process required, depending upon the customer circumstances and club promotions at the time.

d.      Manage, constantly develop and improve membership referral schemes in the pursuit of warm calling. This will require specific techniques to reach a final sale, making full use of the Anytime Fitness sales tools and supporting software including the database management for prospective member enquiries

e.      Ensure daily management of the membership system provided. Uploading accurate information of all prospects/ members. Ensuring all required paperwork is completed accurately for all prospects and members and ensuring the ongoing adherence to Data Protection requirements by all staff that access the membership system.

f. Provide ‘on the floor’ sales leadership and support, in particular in the demonstration of club facilities to club visitors and prospective members. Ensure that all sales staff conduct sales tours in the most appropriate and effective manner, selling the benefits of club membership, at the most appropriate rates whilst never overselling those things that cannot be provided at a later date  

g.       Provide leadership, guidance and support on all income streams of the business as and when required, ensuring problem areas are addressed if income and or membership numbers appear not to be achieving pre-defined goals.

h.       Develop a cost effective corporate membership program aimed at local businesses and customer groups, such as students, then ensure maximum membership numbers at target membership prices

i.        Achieve minimum KPIs as follows- individually and to manage the team accordingly:

  • 20 prospects per member of staff/ day
  • 50 attempted calls per member of staff/ day
  • 25 completed calls per member of staff/ day

Relevant number of appointments booked per member of staff/ day- according to overall and individual daily run rate targets.

Relevant number of sales achieved per day- according to overall club sales target and individual daily run rate targets

Ensure prepared and available for pre-arranged support calls/ visits with your Franchise Consultant, completing the relevant information as requested.

2)     Member Retention: Utilise Anytime Fitness systems and initiatives aimed at improving and maintaining member retention, in particular:  

a.      Analyse membership statistics and trends and implement appropriate courses of action.

b.      Evaluate corporate membership retention activities and implement appropriate courses of action, including the replacement of lower earning organisations with those that provide higher revenue.

c.      Develop a cultural and membership experience that offers more than simply access to health and fitness equipment so that members are engaged and feel that they belong to a club rather than just a gym, leading to increased member satisfaction and longevity in memberships (which in turn will lead to better referrals)

d.      Ensure following the Anytime Fitness Retention guidelines as set out in the relevant document (available on the dashboard or from your Franchise Consultant), paying particular attention to ensuring that all official leavers are processed by the 1st of any given month.

3)     Club Operations: The overall running of the club’s day to day operating requirements

a.     Ensure that all procedures and practices are in line with Anytime Fitness best practice, with particular emphasis on the management of member information including financial information.

b.     Liaise and co-ordinate with Clubwise, Anytime Fitness’s partner for membership and direct debit management, ensuring maximum collection of all available debits 

Put in place, manage and enhance the Retention Guidelines for membership debt collection procedures in accordance with procedures established by Anytime Fitness to ensure that maximum income is generated from potentially lost members whilst still maintaining the culture of the club Maintain the club to the highest of standards, within the pre agreed budget, ensuring at all times that the member experience exceeds their expectations. This includes:

  • Club cleanliness including the management of contracted cleaners, ad hoc staff cleaning when contract cleaners are not available
  • Maintaining adequate stock of club provided essentials, such as disposable wipes, toiletries, vending machine supplies, etc.
  • Gym equipment is maintained to full working order and clean at all times
  • Retail zone is fully stocked with appropriate merchandise
  • Advertising and member inspiration wall is kept up to date
  • Ensure that there are adequate staff operating at the gym at all times and that that it is staffed during all advertised staffed periods. This will include the management of both expected known absences such as holidays, and unexpected absences such as sickness Ensure that the Club website is checked and updated for the 1st of the month.

4)     Management, Training and Development: Manage, train and motivate staff so that they are capable of delivering within their required job description.

a.     Ensure the effective day to day leadership of the Sales and Membership Team, ensuring objectives are met and service provision attains the level required. Ensure adherence to Clubs prescribed code of conduct.

b.     Implement and document weekly 121s with team members. Ensure documenting ongoing appraisal and performance management of the Sales and Membership Team, ensuring that standards of professionalism are maintained. Attend regular 121s as required with your Franchisee.

c.     Develop the skills of staff within the Sales and Membership team and ensure they are trained and competent to effectively deal with customer requests and provide excellent customer service.

d.     Introduce motivational campaigns that support the development of staff to achieve their goals

e.     Ensure communicating with Citation on all matters relating to HR and following advice given on managing underperforming members of staff. 

f.      Be prepared to discuss with your Franchise Consultant performance of individual team members and development action plans that have been implemented.

g.     Attend the different Vitals training as provided by the Support Office. Sales Vitals training to be attended 1x/ year. Ensure staff are attending the relevant Vitals training as recommended by Franchise Consultant.

h.     Coordinate the activities of the Personal Trainers, with particular emphasis on:

 

  • The correct number of PTs are available at all times to cover both the pre-booked and ad-hoc needs of members and prospective members
  • Together with the PTs put in place classes that match the needs of the existing business to benefit the current members and attract new members
  • Ensure that such classes are run in accordance with Anytime Fitness best practice using the Clubwise booking system to administer attendance
  • Managing PTs so that they offer the services that are required by members and are an ambassador for Anytime Fitness at all times.
  • Manage PTs so that inductions are spread fairly amongst the PTs adjusting allocation depending on the circumstances of the member or PTs availability
  • Provide appropriate coaching and support for each PT on an individual basis to ensure successful growth of their PT business, thus ensuring ongoing PT income.

5)     Marketing: Development of the Anytime Fitness Brand in Peckham increasing brand awareness, new membership sales and revenue lines.

a.     Develop and promote Anytime Fitness, making best use of pre-developed advertising and support materials to develop sales campaigns, with a view to attracting as wide a proportion of the target market as possible, include the introduction and continued growth of social media in conjunction with the mandatory supplier. Responsible for membership campaigns / adverts / offers aimed at raising Anytime Fitness’s profile and maintaining the brand image.

b.     Ensure completing a comprehensive marketing planner for the club using the Anytime Fitness tools provided, within the recommended timeframes as requested by your Franchise Consultant. Submit completed Marketing Planner to your Franchisee and your Franchise Consultant at least 3 weeks prior to the 1st of the month the Marketing Planner is due to commence. Ensure the marketing planner fully supports the required sales target for the club as set out by your Franchisee.

c.      Ensure the marketing materials and the months marketing activities as set out in the Marketing Planner are within the marketing budget for the month set by the Franchisee.

d.     Complete and record on a monthly basis competitor profiling, analysing findings and putting in place appropriate strategies to make best use of the competitive environment. Utilise the tools available from Anytime Fitness

e.     Develop campaigns that are designed to profile target areas and groups, such as local business or the high student population if relevant

f.      Maintain the Anytime Fitness website so that at all times it is exciting, informative and up to date.

6)     Health & Safety: Adherence of Club Health and Safety requirements as specified by Citation. Ensure completion of all Citation recommendations within the time frames requested. Responsible for all team members adhering to H&S policies as set out in the employee handbook. Responsible for the completion of full training and understanding of all staff in respect of H&S policies as recommended by Citation.
