Crew Administrator (Crew Purser)

Responsibility

The Crew Administrator is reporting directly to the Human Resources Manager and is responsible for the efficient running of the HR Office with regards to all non-financial (Crew Payroll) aspects. The Crew Administrator is primarily responsible for Crew Immigration and Customs Procedures, as well as managing the Berthing plan and all sign-on and sign-off procedures of the Crew.

The Crew Administrator needs to have close communication with the Port Agents to ensure detailed knowledge in all aspects Immigrations and Customs regulations and procedures and how to obtain them in the various ports.

The Shore Leave Regulations must be addressed to the crew members - posters and e-mails are required to ensure a safe understanding.

 

  • In charge of the Crew Members sign-on and sign-off process, controlling of immigration and sign on documentation such as Travel Documents (passports, Seamans books), visas, Employments Contracts, Employment Medicals etc. to determine the validity of the documents. Communication with Human Resources Manager and Staff Captain in case of missing or invalid Documents.
  • Ensures the efficient clearance of Crew Members signing on and off through Customs and Immigrations by fostering a diplomatic and productive relationship with the relevant officials
  • In charge of the preparation and organization of all paperwork, documentation and tracking related to the crew lifecycle on board such as sign-on, sign-off, Cabin allocation and change, Vacation Date Change requests, Ticketing, Contracts, Medical Appointments, Family Travel etc.
  • Working closely with Shore Side Crewing Officers to ensure a smooth operation with the regards to Crew turnover, flight details, Crew arrival and departure from Sign-on / Sign-off port, Contract Addendums and System (Adonis & Rescom) accuracy
  • The Crew Administrator is responsible for the cabin allocation- in case overlap cabins are required - this will be handled via shore side office.
  • Handling all administrative tasks in the HR Office such as (but is not limited to) preparation of reports, berthing allocation, preparation Crew Movements for port agents, posters and notices for shore leave regulations, preparation and logs, check lists and reports
  • Maintains safe, secure and healthy environment by enforcing organizational standards, procedures and legal regulations. Attends mandatory Crew Safety Drills as required, including meetings, training activities, courses and all other work-related activities
  • Deputy to Human Resources Manager in case of absence

 


Qualification / Job experience

 

 

  • Vocational training in the administrative or personnel line of business, preferably in a hotel
  • Minimum of two years work experience in an administrative position within the hospitality and/or cruise industry or in Human Resources as well as total work experience of a minimum of 5 years
  • Prior work experience in the hotel department on the ship or shore side is an advantage
  • Strong communication skills, being able to communicate tactfully, effectively and confidently with crew members, guests, and department/ division heads
  • Ability to diplomatically liaise with local authorities to expedite efficient clearance of the ship with regards to Customs and Immigration procedures and immediately resolve concerns and negotiate resolutions, without compromising the ship's reporting integrity
  • Ability to work independently as well as in a team
  • Ability to work with and maintain confidential documentation
  • Proficient in Microsoft Office - Word, Power Point, Excel, Outlook
  • Fluent both written and verbal in German and English; ability to speak additional languages preferred
