Assistant Venues Lettings Coordinator - Chiswick, London

Main tasks and responsibilities:

  • To deal with lettings enquires in person, by telephone, post and email.
  • To take and confirm bookings and dispatch and process application and agreement forms for the venues.
  • To raise invoices, monitor collection of income and bank income as directed by the General Manager.
  • To maintain filings and record systems, deal with routine correspondences and photocopying.
  • To operate a range of payment systems including credit and debit cards. To ensure that all information relating to sales lettings is checked and authorised.
  • To ensure that all information about the events and venues is correct at all times.
  • To carry out general office duties as required, photocopying/scanning/faxing
  • To maintain filing and records, deal with correspondences
  • Deliver exceptional service to all customers and potential customers of the Centre
  • To ensure all application forms are correct when sending or receiving
  • Liaise with freelance technician for assistance on any bookings
  • Ensure the efficient and effective operation of the Booking Process
  • Ensure all customer sales and bookings are managed correctly, assisting customers in their choices
  • Assist customers in weighing up their options, supporting the right choice of hirer for each individual customer
  • Positively and proactively drive retention, adhering to Fusion sales driving and reporting procedures
  • Accurately undertake cash handling and reconciliation procedures and administrative duties, as required
  • Assist in the development of programming through innovative ideas and initiating actions to meet the demands of the customers.
  • Assist in the communication and promotion of the centre’s services, ensuring all information given is correct and up to date.
  • Deal with complaints in a sensitive manner, promptly and politely in accordance with Company guidelines
  • Adhere to the Equality and Diversity Policy, Health and Safety procedures, operating procedures, customer service standards and uniform policy at all times
  • Maintain effective filing systems
  • Log correspondence and ensure it is responded to in an appropriate and timely manner
  • Responsible for maintenance of site specific Artifax booking system
  • Maintain accurate and sufficient records of hire agreements
  • Ensure health and safety procedure is adhered to within own area of responsibility, fixing or escalating issues as appropriate

Essential criteria:

Experience

  • Experience of delivering first class customer service in a high-pressurized sales environment
  • Experience of all aspects of cash handling and reconciliation

Knowledge & Skills

  • Ability to “seal the deal” without inappropriately pressurizing the customer
  • Excellent verbal communication skills, including the ability to influence and persuade
  • Good numerical and written skills
  • Understanding of credit control
  • Good basic awareness of employment and data protection legislation
  • Excellent IT skills, including Microsoft Office
  • Fast, accurate keyboard skills (40 WPM or higher)
  • Excellent organizational and prioritization skills, including flexibility to competently manage frequently shifting priorities and never miss a deadline
  • Excellent numerical and written skills
  • Ability to maintain administration systems
  • Knowledge of sales techniques
