Division: Defence Support Services

Hours: Monday to Friday – 8.30am – 4.30pm

Salary: £18,550 plus benefits

 Job Purpose:

As the Course Co-ordinator, you will be tasked to ensure, through close liaison with the Business Support Manager, that a comprehensive and effective course management system exists and is maintained for all International Fire Training Centre courses.

At some points you will also likely support the team with student welfare of the attendees. You will also be responsible for training colleagues in the administration team as requested by the Business Support Manager to ensure enough knowledge and skills exist in the business to cover periods of absence.

Key Duties:

Provide non-technical information on all aspects of courses, co-ordinate bookings by telephone, email and letter ensuring all correspondence is sent to customers in a timely and efficient manner

Producing certificates for issue to students on completion of courses

Work alongside external bodies, ensuring any associated information is stored and issued correctly

Ensure all administrative details are completed and course files maintained as required

Ensure that appropriate course materials including training notes and course content are available for courses prior to their commencement Maintain and update the online system iLearn to ensure the delegates receive the relevant pre-course training material and assessments To prepare as required, new or revised syllabus and maintain an effective method of syllabus identification and location Liaise with Rely on Nutec and other client/customers for efficient operation of offshore and industrial courses Provide word processing support as applicable Assist with general office support e.g. reception, mail distribution, telephone enquiries, door intercom, dealing with visitors, clients etc. Assume the general duties of colleagues in the admin team in their absence as required by the Business Support Manager Develop new and updated systems and processes that will enable IFTC to become more efficient in dealing with customer/client requirements Assist with student welfare requirements Prepare information for the Finance Department in relation to billing purposes Carry out other duties, within the scope of personal capabilities, as required by management Adherence/implementation of all Serco Mandatory Policies as per the Serco Management system (SMS), Code of Conduct, Think Privacy and Security Operating Procedures (SyOps)  

Skills and Experience:

  • GCSE standard of Education including English at Grade C or above
  • Previous administration experience
  • Experience of dealing with the public face to face
  • Communication and organisational skills
  • Experience of collating, recording and sharing information with internal and external stakeholders
  • Competent using Microsoft office Packages
  • Effective written and verbal skills with the ability to communicate with a wide range of people at different levels
  • Excellent teamwork skills Ability to prioritise and work to tight deadlines It would be advantageous if the candidate had NVQ Level 2 in Business Administration
