Commercial Team Administrator (Full-Time / Permanent)

Role Profile

ZSL London Zoo's Commercial Team play a key role in our on-site operations, all with the aim of giving our visitors an outstanding day out at one of London's best-loved visitor attractions. 

The Commercial Team Administrator has responsibility for providing ongoing support to the department to assist with the smooth-running of the team’s vast and complex operations. These include Retail, Admissions, Catering, Events & Hospitality, Animal Experiences, Overnight Accommodation and Concessions - an exciting and wide-ranging remit! 

Main Duties and Responsibilities

  • Providing effective and efficient administrative support to the Commercial Management Team, including arranging meetings, minute-taking, data entry, coordination of meetings/events and diary management.
  • Manage bookings for all ZSL London Zoo Experiences – including producing guests lists, managing delivery of up-sell elements and providing necessary information to the Management and Host teams as required.
  • Responsibility for ordering a range of items for the team from multiple suppliers – including products for Experiences, stationary for the team and F&B elements from our in-house Caterers.
  • Coordination of special events as required, including working with stakeholders to fully deliver agreed briefs. This may include occasional evening or weekend working.
  • Oversight of multiple Commercial email inboxes – ensuring prompt responses with a high level of customer service, flagging as appropriate to relevant managers.
  • Assisting with all departmental Health, Safety and Security paperwork, including risk assessments and method statements.
  • Supporting the Experiences and E-Commerce Team with the fulfilment of Experiences vouchers, ensuring a high-level of presentation.
  • To be the Commercial Team’s lead on the ZSL Intranet ‘Zoogle’, ensuring content is regularly uploaded and updated so that this is a useful resource for the organisation.

Person Specification

  • Have proven administration experience (or can demonstrate transferable skills) in a busy and diverse work environment, ideally working with Senior Managers.
  • Be able to use their initiative to identify ways of improving efficiency / dealing with issues proactively.
  • Have strong and effective written and verbal communications skills.
  • Have excellent organisational skills and attention to details are critical along with the ability to prioritise workloads.
  • Knowledge of using complex business systems, reporting styles and editing of documents.
  • Proven ability to work under pressure with a high degree of accuracy and to tight deadlines.
  • Good IT skills, with a thorough working knowledge of Microsoft Office packages (Excel, Word, Outlook and PowerPoint).
