Personal Assistant to Senior Directors – General Merchandise (GM)
Based at Asda House in Leeds Here at Asda “our colleagues make the difference” and as the PA to the Senior Directors – General Merchandise you’ll be an integral part of our business and frequently the first point of contact for the wider General Merchandise team in Asda House. You will extend a warm welcome to internal colleagues and external visitors alike, always maintaining a polite and professional manner at all times. What you’ll be responsible for:Reporting directly to the Senior Director GM Hardlines, and supporting three other Senior Directors, you’ll be immersed fully in our business providing extensive administrative support including detailed diary management, travel planning, and additional broad administrative duties. By working closely and collaboratively with colleagues, peers and stakeholders, within both the UK and globally, you’ll ensure seamless coordination and communication, priding yourself in your ability to flex your approach and deliver first class customer service. Your support will enable your four Senior Directors, and the wider business, to deliver their objectives as we anticipate, adapt and respond to our customers’ needs. You will be responsible for:•Providing a full administrative service ensuring the highest levels of speed, accuracy, presentation and confidentiality; often handling multiple tasks, ranging from highly complex, confidential matters, to preparing presentations for various General Merchandise meetings, whilst also managing priorities and deadlines to deliver against specific commitments.•Handling all incoming requests both accurately and efficiently; deciding the best course of action to provide the ‘customer’ with the most appropriate resolution to ensure they feel supported and listened to.•Liaising confidently with colleagues at all levels, as well as representatives from Wal-Mart, external agencies, companies and services.•Dealing with standard and non-standard enquiries by telephone and email professionally, efficiently and accurately; using your own initiative and judgement to resolve issues and treating any sensitive matters with the appropriate level of tact and diplomacy.•Arranging and managing regular team meetings and events as required, •Working closely and maintaining relationships with other Personal Assistants & Project Assistants across the wider business.About you:Ideally with previous experience of working as a Personal Assistant/ PA, you will possess excellent IT skills, a strong working knowledge of Microsoft Outlook, Word, Excel and PowerPoint and demonstrate excellent communication skills both verbal and written. With extensive experience of organising meetings and electronic diary management you will be capable of working independently, using your own initiative and judgement to make informed decisions that are right for the business and the customer, balancing all parties needs to ensure consistency of response. Adept at working at pace, you will possess a natural ability to maintain and develop effective working relationships, be highly organised, proactive and able to prioritise high volume, variable, workload and tasks. You will demonstrate strong attention to detail along with a healthy work ethic, be a problem solver with a high degree of integrity/professionalism and a have a strong desire to achieve results with and through others. Finally, takes care in building a personal and professional partnerships with a good sense of humour.
