Working Hours: 35 hours per week, across any 5 of 7 days

Job Function: To ensure that all administration, communication, budgeting and contracts associated with the Head of ICT and his/her department are handled in an effective and confidential manner.

Main Responsibilities:

  • To ensure that administration associated with the Head of ICT and his/her office is handled in an effective and confidential manner.
  1. To manage the departmental meetings and staff training and travel arrangements for all staff.
  2. To prioritise and manage correspondence in the Head of ICT’s absence.
  3. Manage and administer ICT budget, mobile phone contract and billing.
  4. Obtain quotes /estimates and ordering of general departmental items such as training, consultancy, uniforms, stationery etc. 
  5. Manage contracts and department documentation on Sharepoint.
  6. Provide and update regular meeting minutes.
  7. To provide professional liaison with clients, suppliers, visitors and other members of staff.

Measures of Performance:

  1. Smooth administration, no leaks of information.
  2. Accurate arrangements are made and changes are made as appropriate.
  3. Run of the mill correspondence and meeting minutes dealt with accurately and appropriately.
  4. All finance and budget information concise and up to date.
  5. Mobile phone contract monitored monthly.
  6. All contacts with clients, suppliers, visitors and staff are dealt with in a professional and confidential manner.

Person Spec:

  • Advance Word, Excel and Powerpoint
  • Highly numerate and good attention to detail
  • High level of discretion and confidentiality
  • Good organisation skills and sound communicator both internally and externally
  • Capable of prioritisation and decision making in the Head of ICT’s absence.
  • Enjoys pressurised and very active environment
  • Team player who can deliver results in a busy and fast paced environment
  • Relationship builder
