Overview:

We are looking for a Purchase Ledger Assistant to join our famiglia! This role will sit within our Finance team in our Covent Garden Head Office. You will be part of a dynamic team, enabling you to gain a broad sense of our financial processes & mechanisms. The purpose of your role is to process purchase ledger transactions & manage our expenses system.
• To process accurately a high volume of purchase ledger transactions ,correctly coding and chasing for invoice approval
• To process sundries and food/beverage invoices for approximately 25-35 Caffés.
• To manage the EDI system for a chosen supplier through Inventory and Trade Simple
• To reconcile supplier statements on a weekly and monthly basis
• To check caffe petty cash expenditure against receipts received at the office
• To scan then confidentially destroy invoices on a weekly basis.
• To follow up supplier queries to resolve them effectively and efficiently.
• To manage the WebExpenses system for all employees. This includes checking receipts, the VAT treatment and ensuring the company expense policy is adhered to.
• To manage the company credit cards, ensuring that they are all cleared from the creditors in a timely manner.
• To professionally answer the telephone.
• To perform any other activity pertinent to the role as requested.

Responsibilities:


• Working knowledge of Excel with the ability to use formulas
• To manage and organise your own workload.
• To be tenacious, thorough & accurate in all work undertaken.
• To always follow the correct systems and procedures for all work undertaken.
• To show a positive approach to the job role.
• To communicate with all individuals both in Carluccio's Caffés and in the office in a friendly, courteous and professional manner.
• To take ownership for all tasks, duties and responsibilities assigned, ensuring they are completed on time and to the required standard.
• To take ownership for problems as they occur and to be proactive in solving them.
• To actively strive to follow up all instructions or communications from a senior member of the team.
