Executive and Projects Assistant - Alexandra Palace
Full time, permanent, working 37.5 hours per week (Monday – Friday 09:00 – 17:30)
£30,000 - £33,000 pa (dependent on experience)
The Executive and Projects Assistant will provide administrative support and undertake project work for both the Commercial Director and the Event Operations Director. This is a fast-paced, dynamic role that requires meticulous attention to detail, a proactive and adaptable approach and excellent communication skills. Experience in a similar role supporting at a senior / executive level is essential as is experience drafting reports and business cases. Experience proof reading and compiling Board papers is desirable.
Key duties and responsibilities
- PA support for 2 Directors including diary coordination, email management, financial record keeping and proof reading key papers and operational documents - 30%
- Undertake projects to support the work of both departments (Sales and Events) including desk research, planning and coordinating activity, compiling project budgets, and developing implementation plans - 30%
- Support with business planning, internal staff event planning and in-house event organisation and event programming - 10%
- Plan and organise departmental and event focused meetings and working groups preparing agendas, taking minutes and following up actions - 10%
- Support the Directors and their departments in preparing for event open days including the management and administration of VIP and Venue guest lists
- Assist the Directors in managing their team administration liaising with HR and line managers where required to keep records up to date - 5%
- Coordinate the preparation of Board, quarterly reports and meeting papers collating content from team members, proof reading, fact checking and formatting for clear presentation - 5%
Person specification
Essential
- Educated to A Level or equivalent
- Demonstrable experience in a similar role supporting at a senior / executive level
- Experience drafting reports and business cases
- Experience implementing and maintaining filing systems
- Financial administration experience including raising purchase orders and reconciling invoices
- Strong customer service with experience resolving complaints and enquiries
- Ability to prioritise own workload
- Act with confidentiality and discretion
- Confident using Microsoft office
Desirable
- Prince 2 qualification
- Experience proof reading and compiling Board reports
- Experience working in an event business or venue in a front of house role
- Budget management experience
- Project management experience
- Knowledge of a diary management / CRM system such as Artifax
