We are looking to recruit a highly motivated, enthusiastic and hard- working Reservations Assistant to join our Central Reservations team from June 2018. Reporting to the Central Reservations Manager, the Reservations Assistant role is responsible for providing information regarding club facilities (including Accommodation, Golf, Spa, Events, Transport, Outdoor Pursuits, Restaurants) to members and their guests via phone, fax, email and/or in-house requests, as well as daily responsibilities pertaining to the club reservations and information.

As the Reservations Assistant, your responsibilities will be to:-

  • Effectively communicate all company initiatives and values in a clear and professional manner, be it internally or externally.
  • Relays information and confirmation of lodging space and rate information.
  • Books reservations as warranted with follow up on confirmation, brochures, and special requests
  • Actively sell and promote possible events at Loch Lomond Golf Club. Take enquiries for events and then work with the F&B Management on the planning of the event.
  • Take reservations for golf tee times in according with the club rules
  • Actively sell spa treatments and take reservations for these if appropriate. If it is a more complex spa booking you will forward the details to the Spa reception to ensure proper consulting can take place.
  • Actively sell and book outdoor pursuits, transfers and dinner reservations.
  • Continuously keep yourself up-to-date on all club facilities and offerings (i.e. menus, treatments, outdoor pursuits etc.)
  • Reviews arrival for the day prior and complete any request for amenities.
  • Follows up on indefinite arrivals confirming flight arrival plans.
  • Ensure that deposits are received in all confirmed group reservations.
  • Review any room changes and/or room moves with appropriate departments.
  • Check email throughout the day and respond as warranted.
  • Ensure that all phone calls are answered and handled politely and professionally and that every attempt is made to get the caller to make a reservation.
  • Comply with any reasonable request by the senior management.
  • Compile Banqueting Event Order forms for larger events or private functions within the Club and send to appropriate departments to advise them of costs and information.
  • To take ownership of a specific department to champion. Such as Golf Champion, Events Champion, Spa Champion etc. Assisting with the Revenue Board on a weekly basis.

You will be expected to work in a high paced environment as part of a team as well as being able to use your own initiative and work as an individual.   We require candidates with exceptional customer service and organisational skills who are flexible.   It is essential the individual has the ability to work under pressure and be able to demonstrate excellent time keeping and attendance.

Ideally you will have relevant experience in a similar role although we welcome applications from candidates with differing experience who can demonstrate they have the skill set we are seeking. Our reservation system is Jonas; therefore, it is preferable that the successful candidate has a sound working knowledge and understanding of the system.

  • You must provide evidence that you are computer literate and are competent when using Microsoft Word, Excel, Outlook and the Internet
  • You must be happy to comply with our strict company dress and appearance policy
  • You will have a polite and confident telephone manner with the ability to anticipate members and guests needs and a ‘can do’ attitude that makes things happen
  • You should hold a full drivers licence
  • You must be available to work any day of the week.
  • You must be able to demonstrate that you have the right to live and work in the UK.
