Scouting Department Administrator​ - London

Reporting to: PA to Football Department

Department:  International Scouting

Location:  based form Cobham with ad hoc travel to other locations

Working Hours: Full-Time Monday to Friday 9am to 5pm (part-time over 5 days would be considered)

Job function:

Responsible for administration for the scouting department, primarily travel and accreditation organisation for the domestic and international scouts.

Main Responsibilities:

  • Work with the scouting team to:
  • Ensure all scout match tickets both in the UK and abroad are requested and confirmed in a timely manner.
  • Arrange extensive travel both in the UK and abroad for the scouts, within club and department policy.  Then to provide an itinerary for each trip.
  • Arrange meeting room bookings both in the UK and abroad.
  • Receive, reconcile, check and copy the scouts’ monthly expenses.
  • To maintain a directory of scouting club’s contact details.
  • To reconcile and cost code the departments company credit card statement.
  • Assist the PA to the Football Department with organising Scouting Conferences and any other task as required.
  • Update scouting records on CRM database.
  • Cover the work of the PA to the Football Department in her absence.
  • The role is based at Cobham, but some occasional travel to other locations may be required.

Measures of Performance:

  • Scouts receive confirmation of match tickets and travel itineraries 24 hours before assignments.
  • Monthly expenses are reconciled accurately and by the 4th day of each month.
  • Directory of club contact details is up to date.
  • Scouting company credit card is reconciled and submitted to the accounts department by the last working day of each month.
  • Scouting appointments are uploaded onto the CRM database correctly and 3 days before the commencement of the relevant schedules.
  • Work is completed to the level of managerial satisfaction.

  • Microsoft Dynamics
  • SAP online travel booking system
  • Internet

Person Spec:

  • Strong multi-tasking, prioritising, planning and organisational skills.
  • Able to meet deadlines, but also able to manage effectively some last minute changes.
  • Calm under pressure.
  • Excellent communication skills – both internally and externally
  • Worldwide travel booking experience essential.
  • Good numeracy skills, with accounts reconciliation experience an advantage.
  • Able to work within a diverse team.
  • Proactive.
  • Willing to learn.
  • Knowledge of football, or keen interest in sport.
  • Demonstrated PA skills for when cover is required.
  • Key working days from Monday to Friday
  • Willing to be contacted out of hours in the evenings and at weekends if last minute match or travel changes are required.
