Events Co-ordinator - Vineyard Hotel

Located in Newbury, Berkshire, just off junction 13 on the M4 and 55 minutes away from London by train, The Vineyard is a 5 red star hotel. We are currently recruiting for an Events Co-ordinator to join our Events team on a full time, permanent contract, working 40 hours per week, 5 out of 7 days, as a 365 day business you may be required to work evenings/weekends/bank holidays.

We are looking for an Events Co-ordinator who is dedicated, hard working, polite and customer focused individual who possesses excellent communication skills with strong spoken and written English skills.

Summary of role:
To process and convert enquiries via telephone and e-mail to maximise sales.

To process the confirmed bookings from contract to the arrival of the booking ensuring all information has been presented to the relevant departments.


MAIN RESPONSIBILITIES:

  • To process event enquiries at the current rates and upsell where appropriate.
  • To be fully conversant with Hart (training provided), or any other computerised systems installed by the Company.
  • To respond to enquiries via telephone/email within the same working day.
  • To chase provisional bookings to obtain written confirmation.
  • To send accurate contracts and liaising with the contact to ensure they are signed within appropriate deadline.
  • To chase all enquiries/brochure requests and ensure that they are followed up within 3 days.
  • To negotiate rates in line with the strategy set by the Hotel Sales Manager.
  • To follow up enquiries and record new business enquiries taken and turned away.
  • Keep all departments within the hotel up to date with any amendments/re-issues, new bookings and cancellations to the function sheets once they have been issued.
  • To liaise with reception on billing procedures and accounting details for events.
  • To liaise with reservations on rooming lists.
  • To ensure that credit facilities have been set up or third party authorisation forms completed where needed.
  • To arrange and provide additional requirements for clients when requested liaising with third party companies where required.
  •  To identify a potential sales lead and pass them to the Business Development Team.
  • To maintain a relationship with agencies to ensure enquiries are received.
  • To conduct show rounds to the correct standard as and when necessary within the hotel.
  • To be familiar with competitor hotels within the area.  Visit regularly where appropriate.
  •  To maintain an ordered and efficient work environment.
  • To be fully aware and comply with all fire, health and safety and hygiene regulations.
  • Any other reasonable tasks as requested.
  • To ensure all statutory training is carried out and up to date.
  • Monitor and Maintain good Hygiene and presentation standards at all times.
  • To abide by Health and Safety Regulations as required by Law

In order to be successful in this role as an Events Co-ordinator, you will need to have great experience in customer facing roles, preferably within a 4/5* Hotel environment.
