Job Details

We are looking for an experienced administrator to join the Volunteering Team at YHA. The successful candidate will support with the recruitment of volunteers as well as ensuring the effective administration and monitoring of DBS checks for volunteers in regulated roles. You will support current volunteers to get the most from their involvement with YHA and assist YHA employees to provide volunteers with a high quality experience. The successful applicant will also liaise with and provide guidance and advice to new and potential volunteers, ensuring all necessary information is shared and safe recruitment practices are maintained at all times.

Responsibilities include:

  • Carry out telephone/online/face to face interviews with potential volunteers and make recruitment recommendations.
  • Responsible for ensuring timely completion of DBS paperwork and accurate administration of all DBS checks for relevant volunteers in line with YHA Policy, DBS Code of Practice and Data Protection.
  • Support YHA staff and volunteers to use the volunteering information system and website effectively. Tracking hostel use and ensuring adherence to recruitment policy and best practice
  • Maximise the take up of volunteering opportunities by proactively contacting and signposting new and existing volunteers to suitable roles
  • Creation and distribution of routine Volunteer correspondence including newsletter bulletins, social media, training packs, joining instructions and volunteer guidance, ensuring maximized engagement, buy-in and understanding.
  • Responsible for producing monthly volunteer and DBS reports to ensure safeguarding and raise awareness of volunteering engagement.
  • Maintain accurate volunteer records and provide management reporting information in relation to volunteer involvement and engagement
  • Manage customer enquiries by email and telephone. This includes providing advice to new and potential volunteers as well supporting YHA staff on engaging with volunteers
  • Support the Volunteering and Youth Impact Team with administration and event organising tasks, including organising training courses and meetings
  • Be responsible for updating content on the volunteering website, including information relating to volunteering opportunities
  • Process volunteer expenses
  • Maintain a well-managed office environment by efficiently undertaking routine office tasks
  • You will also represent YHA at external events and the job requires occasional travel.

In order to be considered for this position, we are looking people who:

  • Experience of interviewing and making recruitment assessments
  • Previous experience of managing DBS checking
  • Previous experience of working in volunteer recruitment or a similar environment
  • Confident communicator (both verbal and written) with a personable and professional manner and the ability to interact with a wide range of people to build strong working relationships.
  • Ability to demonstrate understanding of volunteering ethos and good practice
  • Good judgment and decision making skills
  • Good organizational and prioritizing skills and ability to effectively manage own workload
  • Ability to demonstrate confidentiality and understanding when handling sensitive situations and information.
  • Previous experience of working within an administrative role involving attention to detail
  • ICT literate, proficient in the use of Microsoft Packages including e-mail, word processing, spreadsheet, web-based applications and social media
  • Flexible approach to working, including some weekend working and occasional visits to hostels in England & Wales
  • Current full driving licence (desirable)
