Receptionist - Prestatyn Sands

Role Title:           Allocationist

Reporting to:     Office Manager

Main Responsibilities

  • Ensures reservations are allocated within the specified timescale of 2 weeks prior to arrival
  • Ensures delivery of customer satisfaction
  • Balance stock levels with guest’s needs and requests
  • Sales focused service to telephone enquiries
  • Excellent communication skills at all levels
  • Ensures supply of Vacant Inspected apartments (crash) to reception and night staff on a daily basis
  • Liaise with guests if special requests cannot be met
  • Ability to fulfil all sales and reservations and reception duties
  • Performs any other duties as required by their line manager
  • Ensures a clean and tidy work environment
  • Adhere to company corporate image and uniform policy

Main Responsibilities

Examples of your day to day responsibilities would include but are not restricted to:

  • Allocate up to 822 apartments
  • Create a VIP list informing accommodation of any special requests or guest needs
  • Changes and amendments made to reception packs
  • Assist with Special Events
  • Check arrivals with reception packs to ensure all apartments are correctly allocated
  • Produce coach and tour rooming lists for reception
  • Ensure that an up-to-date expected guest list and wall chart is provided to the main gate each check-in day
  • Print reception vouchers and ensure that any reservations that have been upgraded are clearly stamped
  • Apartment moves are to be monitored with stock levels and amended on the reservations system
  • Monitor stock levels on a regular basis and flag up an anomalies and risks of oversell
  • Ensure that a clear log is made for any non-arrivals
  • Deal with reservations for group bookings or special events
  • Ensure that crash is left each day for reception and night staff
  • Produce invoices for coaches and tours
  • Off sale apartments are to be monitored closely with the Maintenance Manager

 Person Specification

  • The ideal candidate will be computer literate
  • Ability to work on own initiative whilst being part of a busy, exciting team
  • Problem solving ability highly desirable
  • Be able to communicate effectively both internally with work colleagues and managers, and externally with others
  • An honest and reliable nature is required
  • Must be flexible as evening and weekend work will be expected
  • Strong organisational skills are desirable
