Sales and Events Co-ordinator - ArenaMK

Department: ArenaMK Sales

Reporting to: Arena MK Sales and Events Manager

Contract: Permanent 

Hours per week:  40, 5 out of 7 days

Overall Objective:  To act as a primary point of contact for all external enquiries booking meeting or event space

Job Description

Main Objectives

  • To answer incoming enquiries via phone or email
  • To win business through effective pricing and quick responses to enquiries
  • To coordinate final details on a confirmed event
  • To liaise with various departments, stakeholders and suppliers to ensure your booking is successful
  • To create budget conscious proposals based on the clients requirements to win the business

Summary of Duties

  • To deal with clients who have various event requirements that can come via various channels
  • To quote clients on their specific event needs and answer any questions about the facilities/services of the venue whilst adhering to relevant Health and Safety standards/policies
  • To answer all inbound phone calls and emails
  • To check availability on our in house booking system for incoming enquiries
  • To manage the workload for any new or existing bookings
  • To liaise with the relevant departments and suppliers on confirmed bookings
  • To ensure all correct contracts are sent over to the accounts department for billing prior to client arrival onsite
  • To conduct venue site visits with clients to win the business or to complete necessary event details

Person Specification

Essential

  • GCSE English and Math Grade C and above or equivalent
  • Excellent verbal and written communication skills
  • Ability to act on own initiative and be self-motivated
  • Strong planning and organization skills
  • Interpersonal skills
  • IT skills
  • Adept in use of Microsoft Excel, Microsoft Word, internet and email
  • Excellent time management skills

Desirable

  • Experience of working within a Hotel/Events business
  • Flexible approach to working days and hours
  • Knowledge of Opera booking system ( Sales and Catering)
