Meeting and Events Sales Executive - Millennum and Copthorne Hotels
Reporting to: Director of Sales & Marketing. Dotted line to Operations Manager & General Manager
Department: Sales / Operations
Job Function: To sell and coordinate events held at Millennium & Copthorne hotels at Chelsea Football Club.
To manage the office function and administration supporting the senior management of the hotels.
Main Responsibilities:
- To have a full and up-to-date knowledge of Millennium & Copthorne hotels at Chelsea Football Club’s products and services
- To take enquiries, follow up and convert bookings for Meetings and Events.
- To ensure that regular follow up is carried out with provisional bookings
- To maximise revenue at every opportunity by suggestive selling and upselling.
- To assist in maximising total space utilisation by way of diary management
- To ensure all departmental procedures are carried out to standard
- To liaise with the customer from initial enquiry to event day ensuring efficient and timely communitcation
- To play a key supporting role in the general administration function of the hotel,
- To work with the key heads of department to ensure that guest and formal communications are produced and managed in a timely and efficient manner
- To be familiar with the key personnel within ChelseaFootball Club and Millennium & Copthorne Hotels and liaise with them such as to present the hotel in the best possible light
- To liaise with the Sales Co-Ordinator to ensure a constant back up resource is available as and when support is needed
- To work with other Heads of Department to ensure that clients and guests of the General Management and senior management are afforded appropriate courtesies , service and attention
- To ensure that comments, queries and concerns brought to senior management attention are dealt with professionally and in a timely manner
- To confidently represent the General Manager and senior management of the hotel and football Club when required
- To demonstrate discretion and confidentiality when dealing with matters of a personal , legal or commercially sensitive nature
- To supply information to and work alongside the relevant departments to ensure a smooth running of events
- To be fully aware of and follow the requirements of the Health and Safety at work Act pertaining to your position.
- To carry out any other reasonable duties that may be required.
- To contribute to operations meeting by delivering information to all Meeting & Event activities for the upcoming week via BEOs
- To forecast Meeting & Event revenue on a weekly basis and assist in the budgeting process
Personal Specification:
- Proven experience in an event sales or event supervisory role
- Computer literate including MS Outlook, Word and Delphi
- Confident in customer facing situations – with personel of all levels
- Ability to inspire customer trust and confidence
- Past experience of dealing with matters of a confidential nature
- Ability to deal effectively with, and gain support of, internal colleagues.
- Excellent ambassadorial, verbal and communication skills.
- To be able to think fast and to deliver solutions to customer requirements
- Must operate with integrity and be aware of the sensitive issues that surround the CFC and Millennium & Copthorne Hotels brands
- Proven proactive approach to events & account management
- Confident in client facing situations
- Commercial awareness with attention to yielding of business and maximising profit
