Purpose of Job: To provide an excellent and efficient customer service to all members and visitors of JAGS Sports club. This will entail welcoming visitors and members, answering all queries, be them face to face or by phone, to have full control of the front of house booking system, to have cash handling duties and ensure cash reconciliation of daily takings are accurate and to be a general source of up to date information for Members.  Working with the members of the senior management team, assisting on a variety of projects and duties.

 

 

Major Duties and Responsibilities:

  • Direct responsibility for the accurate cash reconciliation during shifts, including preparing floats, preparing daily takings for banking, and the accurate reconciliation of all vending machines.

 

  • Direct responsibility for the front of house computer booking system. This includes taking day-to-day bookings such as sporting activities, receiving course bookings (term time and holiday time) and birthday party bookings.

 

·         Responsible for basic Membership administration such as membership renewals, filing of membership details when necessary, setting up appointments for prosepective members and sign ups on the front of house system, communicating with Membership Manager via the appropriate means if required to, the constant and on going up dating of members account information including email addresses, logging member photos and the production of membership cards. To provide correct information to prospective and current members regarding facilities, programmes, procedures and prices.

 

  • To proactively ensure that all notice boards are up to date, that all JAGS Sports Club literature is displayed for member/ public consumption neatly and orderly and that the general appearance of the reception area is in keeping with Housekeeping and Cleanliness standards.

 

  • To be capable of understanding and partaking in any emergency evacuation scenario and up holding a basic level of Duty of Care.

 

  • To accurately log all lost property in accordance with the JAGS Sports Club written procedures.

 

  • To ensure where possible that all members and contractors entering the premises are accounted for either by swiping in with membership cards or in the case of contractors or guests, signing in by the use of the appropriate file and procedure.

 

  • Part of the receptionist duty will be to assist a designated Manager on a variety of Projects.  This will form part of the receptionists’ regular weekly schedule.  The designated managerial group will be one of three groups consisting of the following managers:

 

Deputy Manager / Community Development Manager

Operations Manager / Membership Manager

Community Enterprise Manager / Finance Manager

 

 

  • To play a key role in showing prospective members the facility with a view to them becoming members. To also assist the Membership Manager in the general administration of the JAGS Sports Club Membership scheme.

 

  • To carry out any other reasonable task from time to time that may be delegated by the Management team at JAGS Sports Club.

 

 

 

 

Person Specification

 

Essential criteria: Experienced in cash handling.

 

Working with people

  • Customer service experience gained in a front of house role.
  • Ability to deal calmly and confidently with demands from the public, including difficult situations.
  • Helpful and positive attitude when dealing with colleagues and visitors; being open and receptive to ideas from others.
  • Professional and courteous presentation at all times.

 

Working with words

  • Clear and effective written and verbal communication skills.
  • Experience of writing business letters, explaining complex points effectively to visitors and staff.
  • Good IT skills for letter writing, sending emails, navigating a computerised Front of House system. Have be capable of comfortably working with Microsoft Office programmes.

 

Organisation Skills

  • Able to assess the priorities within daily operations and in a pressurized environment. Awareness and understanding of the organisation’s scope.
  • Consistently achieving agreed results in good time, persevering and seeing things through. Punctual and dependable.
  • Willingness in presenting and maintaining a professional atmosphere in the reception area at all times to provide the smoothest and clearest member experience.

Special Conditions:

Salary reviews may be subject to performance in terms of meeting all targets as set out in your personal development plan.  The Reception role will be based at JAGS Sports Club but may be required to work at other locations within the school premises.  The hours of work per week will be 39 hours generally completed from 08.30am – 14.15 or 13.00 – 22.00 Monday to Friday and 6.45am – 15.45 or 12.00 – 21.00 Saturday and Sunday. The post holder may not carry out any other duties at the school without first obtaining the agreement of the Community Enterprises and Sports Club Manager, permission not being unreasonably withheld.
